An overview of tech systems, device protocols, and operational distinctions between HOPE Staff and Learning Sites.

🛠️ Technology Responsibilities Overview

HOPE Staff Responsibilities:

  • Oversee school-wide tech systems, devices, and software platforms
  • Approve tech purchases and manage inventory
  • Provide technology support for staff and students
  • Maintain documentation and update policies related to device usage and tech access
  • Create Academic dashboards from Curriculum 

Learning Site Responsibilities:

  • Submit help desk tickets for staff and student
  • First line of tech support for students - example “have you restarted your computer?”
  • Help implement tech policies during student instruction
  • Safeguard devices issued to students and mentors 
  • Track student devices at Learning Site

🧰 Tools & Systems Used

  • Google Workspace (HOPE-managed):
  • Gmail, Calendar, Classroom, and Chat are centrally supported and accessed through HOPE credentials
  • HOPE IT provides training and troubleshooting upon request
  • Google Drive:
  • Store device agreements, help guides, and digital policy documents
  • Upload tech updates using Right-click > File information > Manage versions to track document changes
  • Use the Drive Activity panel to monitor edits to shared tech materials
  • Google Sheets:
  • Data from Edmentum, Exact Path, and WorkKeys wrapped up to Curriculum Dashboards 
  • -Progress gained in courses over last 7 days
  • -Time worked / attendance
  • -Completed courses
  • -Historical works trends
  • -Focus list of non-engaged students

  • 🔁 Upload revised tech documents via version control rather than replacing originals
  • 🧹 Archive outdated guides monthly and update training links
  • 🔐 Use restricted-access folders for device agreements and sensitive site data

  • Keep site-issued devices in secure and clearly tracked locations
